Access to information manual.

What records we hold, and how to ask for access under the Promotion of Access to Information Act.

This manual is published under section 51 of the Promotion of Access to Information Act, 2 of 2000. It explains what records Excellion Group holds and how to ask for access to them.

2. Information Officer

Marius Yssel is the Information Officer and handles all requests under this Act and under POPIA. Send requests to info@excellion.co.za.

3. The Regulator's PAIA guide

The Information Regulator publishes a guide on how to use the Act. It is available from the Regulator in all official languages, free of charge.

4. Records held

Excellion Group holds records in the following categories. Listing a category does not mean a record will be released. Each request is decided on its own merits.

  • Company records: registration documents, tax records, licences and statutory returns
  • Financial records: invoices, statements, budgets and audit files
  • Client records: proposals, scopes of work, designs, contracts, project files and correspondence
  • Supplier records: quotations, purchase orders and agreements
  • Employee and contractor records: contracts, payroll and personnel files
  • Marketing records: website content, newsletter subscribers and enquiry correspondence
  • Technical records: system designs, site surveys, commissioning and handover packs

5. Records available without a formal request

The content of this website, including service descriptions, articles and contact details, is open to anyone. Company registration details are available from the Companies and Intellectual Property Commission.

6. How to request a record

  1. Complete the prescribed request form for a private body, Form 02 under the PAIA Regulations, available from the Information Regulator.
  2. Send it to the Information Officer at info@excellion.co.za.
  3. Give enough detail to identify the record, state the right you seek to exercise and say how you want to receive it.
  4. Pay the prescribed request fee where one applies. Access fees for reproduction, search and preparation are charged at the rates in the PAIA Regulations, and we confirm the amount before any work starts.
  5. We decide inside 30 days and tell you in writing. The period extends by a further 30 days where the request covers a large number of records.

Requests for your own personal information carry no request fee.

7. When access is refused

The Act sets out the grounds, which include the privacy of a third party, commercial information of a third party, confidential information, legal privilege, research information and records held for legal proceedings. A refusal is given in writing with reasons and with the remedies open to you.

8. Remedies

If access is refused, or the fee or the form of access is disputed, complain to the Information Regulator or apply to a court with jurisdiction.

9. Availability of this manual

This manual is published on this website and is available from the Information Officer on request, free of charge. It is reviewed once a year.
