What we collect on this site, why we collect it, and how to have it removed.
This notice explains what personal information Excellion Group collects through this website, why we collect it, who else sees it and what to do about it. It is written to meet section 18 of the Protection of Personal Information Act, 4 of 2013.

What we collect and why
The contact form
The form asks for your name, your company, your email address, your phone number, the reason for contact and your message. Company and phone number are optional. The email we receive also records the date, the time and the IP address the form was sent from, which helps us block automated abuse.
We use these details to answer you and to keep a record of the enquiry. Giving them is voluntary. Without a name, an email address and a message we have no way to reply.
The newsletter
Signing up stores your email address. We send a confirmation link first and add you only once you click it. Every email carries an unsubscribe link, and one click removes you. We do not sell or rent the list.
Website measurement
We use Google Analytics to count visits and see which pages people read. It loads only after you press Accept on the cookie banner. Press Decline, or ignore the banner, and nothing is loaded and nothing is sent.
When you accept, Google Analytics sets cookies on your device and records the pages you view, roughly where you are in the world, your device type and how you arrived. We see totals and trends, not named individuals. We have turned off advertising and personalisation signals.
Change your mind at any time. The Cookies link at the bottom of every page reopens the banner.
Server logs
Our host keeps standard web server logs, which include IP addresses, for security and fault finding.
Who else sees your information
We use three operators, each bound to process the information only on our instructions.
- Domains.co.za hosts the website and our email, on servers in South Africa.
- MailerLite runs the newsletter. It is based in the European Union and stores subscriber data there and in the United States.
- Google provides Analytics. Data is processed on Google infrastructure outside South Africa.
We do not sell your information. We share it beyond these operators only where the law requires it.
Information sent outside South Africa
MailerLite and Google process data outside the country, as set out above. Section 72 of POPIA allows this where the receiving party is bound by rules giving protection similar to POPIA, or where you consent. Both operate under the European and United States frameworks and offer contractual data protection terms, and the newsletter and analytics both run on your explicit consent.
How long we keep it
- Contact form enquiries: three years from the last exchange, then deleted, unless the enquiry became a contract.
- Newsletter subscribers: until you unsubscribe, and for a further year as proof of the opt-in.
- Analytics: 14 months, the retention set on the property.
- Server logs: as kept by our host in the normal course.
How we protect it
The site runs over HTTPS with a valid certificate. Email is authenticated with SPF and DKIM. Access to the mailbox and the hosting account is limited to people who need it. No transmission over the internet is perfectly secure, so we ask you not to send identity numbers, banking details or passwords through the contact form.
If personal information in our care is accessed by someone unauthorised, we notify the Information Regulator and the people affected, as section 22 requires.
Your rights
Under POPIA you have the right to:
- ask what personal information we hold about you
- ask us to correct or delete information which is wrong, misleading or no longer needed
- object to us processing your information
- withdraw consent for the newsletter or for analytics at any time
- complain to the Information Regulator
Write to info@excellion.co.za and we answer inside 30 days. A formal request for access to records follows the process in our PAIA manual.
